Preparing your spreadsheet for enrolling and uploading
Upload your employee’s information using our default fields.
If your learner is new to your organisation then we will add them to the directory and if they already exist on the platform then we can update their information.
Information we can store:
- Personal - Title, pronoun, First name, Last name, Email, Cohort, Unique learner number, Employee number
- Contact - Mobile number, phone number, street address, city, region, postcode/zipcode, country
- Demographic -Date of birth(age), gender, disability, ethnicity, Nationality
- Employment - Job title, employee start date, employee end date, contract type, department, stream, business unit, branch, site, division
- Custom information - custom001 - custom010 ( see more)
Reporting lines - Manager, supervisor , custom organisation roles

Let us know the specifics of the enrolment . These are listed below:
- Training course - Fill in the name of the course. Your training provider will use this name too so it is useful for both parties if you used the official name.
- Training provider contact - Adding a new training provider will send the training provider contact some instructions to allow them to sign in to start reporting.
Training information - Give extra information(course type, course level, program type, start date, end date ) about the course to power up your filtering in dashboards and analytics.
FAQ
Q: What format should the spreadsheet be in for uploading?
A: The spreadsheet should be in CSV or excel format.
Q: I have some data that I can’t find on your set list of fields available - can I add them?
A: Absolutely! You can use custom001 - custom010 (see more)
Q: How will I know if there are errors in my upload?
A: The system will alert you to any validation issues during the upload process, and you will have the opportunity to fix them directly within the interface or re-upload the corrected spreadsheet.
Q: Can I update existing employee information using this feature?
A: Yes, We will recognise employees by either their email or ULN so make sure their information are unique! The information on the spreadsheet will replace the information we have collected before.
Q: What happens if I’ve accidentally uploaded someone or if I’m not ready to enrol someone yet.
A: Your batch of people will not be enrolled until you hit the “done” button on the top right corner of the screen. By clicking on their name, a slide-over will appear and you can omit someone from this batch.
Q: What information is required in the spreadsheet for a successful upload?
A: Required information typically includes employee full names, email addresses, ULN, and any other mandatory fields specified by Conveya.
